Knowledge, catalogue and grounded answers
Give MAY approved sources and keep changing business facts structured.
Documents versus structured business facts
Knowledge stores approved explanatory material such as policies and product references. Catalogue stores structured products, variants and current business facts. Use authoritative catalogue pricing and inventory where configured; a brochure reference is not proof of showroom stock or a current offer.
Upload and validate
- Check that you are authorised to upload the material and remove passwords, private keys and unnecessary personal data.
- Choose Knowledge and select the intended audience, department and location where available.
- Upload a supported readable document and wait for ingestion/indexing to finish.
- Open the resulting document status and source details. An uploaded file is not necessarily ready for retrieval.
- Ask a new, specific question from the intended staff role and inspect the answer sources.
Visibility and separate audiences
Internal staff material must remain internal. Department, location and role restrictions apply to authorised retrieval, including vector results; merely hiding a document in the interface is insufficient. Test the customer assistant and Team Assistant independently.
When an answer is missing
Check document status, readable content, audience permissions, the selected workspace and whether the facts belong in Catalogue. Include the relevant model/variant or date in the question. Missing evidence should produce a request for clarification or an honest uncertainty response.
Updating and removing information
Publish revised sources deliberately and check their effective dates. Ordinary deletion restricts access and preserves recoverable history. Personal-data erasure has a separate reviewed process described in the Privacy Policy.
